Privacy policy for the app

This policy covers the “AI Week Düsseldorf” app for Android and iPhone. The website has its own privacy notice.

Without signing in

You can use the programme, speakers, directions, building plan and partner page without signing in. The app loads the public programme and the speaker photos from ai-week-duesseldorf.com; this technically transmits your IP address. Your saved sessions, your language and the last loaded programme are stored only on your device. The app uses no advertising, no tracking and no analytics. Links to maps, LinkedIn or websites open the respective app or your browser; their own privacy policies apply there.

Signing in with your ticket

To sign in, you enter the email address your ticket was issued to. Our ticket system (Allmeda, operated by STARTPLATZ) sends you your “My ticket” link. With this link the app checks your ticket with Allmeda. We take over your name, email address, ticket type, valid days and a ticket identifier. We do not store your ticket’s access key on our server. It stays encrypted on your device so that you can reserve hands-on sessions and answer the evening question; these requests go directly to Allmeda.

Network (voluntary)

In the network you can create a profile: name, company, role, photo, “Looking for”, “Offering”, topics and LinkedIn address. Your profile is not visible at first. Other attendees with a ticket only see it once you switch on “Visible in the network”. Only people you are connected with see your LinkedIn address. They only see your email address if you explicitly allow it.

Contacts are created when you scan a QR code, have your code scanned or accept a contact request. You can exchange text messages with your contacts. We store contacts, requests and messages so that these features work. We do not read messages; the AI Week team only sees messages that have been reported (see “Reporting and blocking”).

For suggestions (“A good match for you”) the app compares topics, “Looking for”/“Offering” and shared days. This happens automatically and without AI.

Legal basis: Art. 6(1)(a) GDPR (consent by switching on visibility or creating contacts). You can switch visibility off at any time.

Camera and photos

The app uses the camera only to scan QR codes; no images are stored. It accesses your photos only when you choose a profile picture. The picture is resized and stored in non-public storage. Only people who may see your profile can retrieve it.

Notifications

If you agree, the app reminds you ten minutes before saved sessions. Your device schedules these reminders itself; on Android you can also allow “Alarms & reminders” so that they arrive on time (no data is transferred for this). You also receive push notifications for contact requests and new messages, for team announcements during the week (at most three per day, no advertising) and once before deletion. For this we store a push token of your device. Delivery runs via Expo (650 Industries, Inc., USA) and then Apple Push Notification Service or Google Firebase Cloud Messaging. You can switch notifications off at any time in your device settings.

Reporting and blocking

You can report profiles and messages and block people. Reports, with the reason, a note and, where applicable, the text of the reported message, go by email to ai-week@startplatz.de and to the app’s admin area. After three reports from different people, a profile is temporarily hidden until the team decides.

Where the data is stored (processors)

Retention

On 27 May 2027, six months after AI Week, we automatically delete all accounts, profiles, photos, contacts, requests, messages, reports and push tokens of the app. We remind you on 20 May 2027. Your ticket in Allmeda is not affected.

Delete your account

You can delete your account in the app at any time: “Me” → “Delete account”, then confirm. The deletion takes effect immediately.

This deletes your account, your profile with photo, your contacts, chats and contact requests, your blocks and the push token of your device. Reports you made about other people remain without your name; reports about you are deleted. Your ticket in Allmeda remains valid; if you sign in again, you start with a new, empty account.

No longer have the app? Send an email from the address of your ticket to ai-week@startplatz.de with the subject “Delete account”. We will delete your account without undue delay and at the latest within one month.

If you do nothing, everything is deleted automatically on 27 May 2027.

You can delete individual data without deleting your account:

Your rights

You have the right of access, rectification, erasure, restriction of processing, data portability and objection. You can withdraw consent at any time. Write to dus@startplatz.de. You can also lodge a complaint with a supervisory authority, for example the State Commissioner for Data Protection and Freedom of Information of North Rhine-Westphalia.
